Patina House is a guest house in Vredehoek, Cape Town. This policy explains what personal information we collect through patinahouse.co.za and when you stay with us, why we collect it, and what rights you have over it.
We process personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA).
What we collect
When you send us an enquiry
Our enquiry form asks for your name and email address, and gives you space to write to us. Depending on what you choose to tell us, your message may include your intended dates of stay, the number of guests, a telephone number, or anything else you decide to share. We receive only what you put in the form.
Enquiries are delivered to our mailbox by email.
When you book a stay
If you book directly with us, we collect what we need to hold and honour the reservation: your name, contact details, dates of stay, number of guests, and any requests or requirements you tell us about.
If you book through Airbnb or another booking platform, that platform collects your information under its own privacy policy and passes on to us only what we need in order to host you. Please refer to that platform’s privacy policy for how it handles your information.
When you stay with us
On arrival we record the details required for our guest register. We keep these records because we are required to, and we do not use them for any other purpose.
Automatically, when you visit the website
Our web server keeps standard logs recording your IP address, browser and device type, the pages you view, and the date and time of your visit. This is used to keep the site secure and working correctly.
Why we use it
- To reply to your enquiry, because you asked us to by sending it.
- To make and manage your reservation, which is necessary to perform our agreement with you.
- To keep a guest register and to keep accounting and tax records, which we are legally obliged to do.
- To keep the website secure and functioning.
- To send you news or offers, but only if you have specifically asked us to.
We do not sell your personal information, and we do not share it for advertising purposes.
Cookies
Our website sets a small number of essential cookies used by WordPress to make the site function and to allow administrators to log in. These are not used to track visitors.
You can block or delete cookies through your browser settings, though the site may not work correctly without the essential ones.
Our fonts are served from our own server, so loading a page does not send your information to a third-party font provider.
Who we share your information with
We share personal information only where we need to, and only with parties required to keep it confidential:
- Our website host, which stores the website and its server logs.
- Our email provider, through which enquiries and correspondence pass.
- Booking platforms, where you have booked through them.
- Payment providers, where you pay us electronically. We do not store your card details.
- Our professional advisers, where required.
- Authorities, where we are legally obliged to disclose information.
Where your information goes
Some of the services we use may store or process information outside South Africa. Where this happens, we take reasonable steps to satisfy ourselves that your information is protected to a standard comparable to POPIA.
How long we keep it
We keep enquiries only as long as we need them to deal with your request. We keep booking, guest register, and accounting records for as long as the law requires us to, and delete them afterwards. Where you have consented to receive news from us, we keep that record until you withdraw your consent.
How we protect it
We keep the website updated, restrict administrator access to those who need it, and serve the site over an encrypted connection. Access to our mailbox and booking records is limited to people involved in running the guest house. No system is perfectly secure, but if a breach occurs that is likely to affect you, we will notify you and the Information Regulator.
Your rights
Under POPIA you have the right to:
- ask us what personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete information we no longer have a lawful reason to keep;
- object to our processing of your information in certain circumstances;
- withdraw your consent to marketing at any time; and
- lodge a complaint with the Information Regulator.
